2009-2010 COMMITTEE DESCRIPTIONS

*Please keep in mind that if you sign up to be on a committee and there is a

particular date that the event is being held, YOU NEED TO BE AVAILABLE ON

THAT DATE to work the event. Same applies when you sign up to be a committee

volunteer*

YEARBOOK – This is a 2-person committee that will work together over the

summer months to get the yearbook updated and ready for distribution at the

September Garden Party. If you’re good on the computer and an organized

person who enjoys working on your own time, this could be a great one for you.

Responsibilities include collecting the yearbook content/data from various club

members including President, 1st VP, 2nd VP and Treasurer. The bulk of the

work is completed over the summer, and then minimal updating/tracking

throughout the upcoming year as new members join.

WEBSITE – a NEWLY DEFINED position available where this person will work

with the Yearbook chair and the Communications Chair. Taking the steps that

have been made thus far towards a club website, this is a one person job for

someone who enjoys working on their own time, and is computer literate. You

will be working with a hired web technician to keep it updated with new

members, newsletters and new content.

GARDEN PARTY – The Garden Party kicks off our new year! Ideally you should

be in town/available in August to get preparations made to plan this event. It

is generally held at a member’s home (generally at 1pm in the afternoon) and

you would be coordinating evite invitation, set up, food, etc. It’s a small

committee of 2-3 people and a great one for individuals who would like to fulfill

their volunteer responsibilities in the early part of the year. Planning should

begin in June/July to secure a host home.

RICHARD’S RUN HHK5K – Richard’s Run HHK5K is one of our largest

fundraisers, currently benefiting two cancer organizations – Go4theGoal and

Emmanuel Cancer Foundation. It is a fantastic means to contribute in a

significant way to a super fun, incredible event. Much of the work is completed

over the summer but you can expect to be busy, especially in September,

gearing up for this terrific event. This is a great committee for meeting new

people and really getting involved.

PROGRESSIVE DINNER- The Progressive Dinner is a committee of six people

that begin to meet in early September to start planning one of the club’s favorite

events. The committee works together to select ‘host houses’ for the event,

create invitations, choose food/alcohol & plan a great night for club members to

enjoy. It’s another great one if you like event planning and would enjoy having

your volunteer efforts completed early in the year.

HALLOWEEN PARADE – This event is generally held in the morning and is a

great way to get involved with the kids in town, leading them through

Downtown HHK and back to the school for spooky festivities. Much of the

planning is in September and October. A committee of 4-6 people, and a very

fun event to be a part of, and no, you do not have to dress up in a Halloween

costume.

BREAKFAST WITH SANTA – This event takes place in early December with

planning beginning in October/November. It’s a committee of 4-6 people which

makes planning a lot of fun! Working together you will coordinate decorations,

press, food, crafts and a fun day for many children!

HOLIDAY PARTY – This event takes place during our December General

Meeting. The past 2 years, we’ve had the Holiday Party offsite at The Ho-Ho-Kus

Inn. The Chair and her committee will work with The Ho-Ho-Kus Inn to

coordinate food and drink as well as create a festive and fun social environment

for our members to enjoy. A small committee of 2 is sufficient to plan this fun

event.

GAME NIGHT/BUNCO – The committee is responsible for organizing a fun

game night for our members and spouses to enjoy. I would recommend this to

someone who wants to rally the troops for a fun social night! 1 to 2 people can

plan this event.

EASTER PARADE – More fun with the little ones! On this committee, you will

help to organize a parade through town and an Easter Egg Hunt on a Saturday

morning! It is one of our larger committees (5-7 people). The committee will

begin their work in January and it’s a fun way to work with a group on one of

our most fun events for the kids.

YAC COMMUNITY FUNDRAISER – One of our largest fundraisers held in the

spring. Enjoy being on a committee of mostly new members, which is a great

way to meet and really get to know other club members. Traditionally our

largest committee, as it involves planning a sizable dinner/dance and some sort

of auction event. Your work will start in January of that year and you should

expect to be busy planning for a few months thereafter; so put your party

planning and brainstorming hats on! This committee is also a great way to get

involved in raising money for our local beneficiaries.

SCHOLARSHIP – Work with the Scholarship Chair during the months of April

and May to interview and select the recipients of our scholarship money. 1-2

people Committee.

WAYS AND MEANS – This committee is Chaired by the 2nd VP and has a small

group of 2-3 people to help formulate ideas for new beneficiaries that can

benefit from our funds raised at the YAC Fundraiser and Richard’s Run

HHK5K. It’s a small committee that really helps to shape the future of our club

and our beneficiaries. The work begins independently in January and is

completed when the slate is presented in April.

CLOSING DINNER – This committee organizes the club’s final meeting of the

year, generally a dinner taking place at an outside venue. You will organize the

locale and menu for the year end festivities! (Generally a committee slot saved

for Associate Members).

STORAGE ADMINISTRATOR – This is an ongoing position through the year.

As the storage coordinator, you will coordinate access for Committee Chairs to

our club’s storage facility. A one person job that requires you to keep track of

items stored and work with committee chairs to provide access to storage unit

as needed.

CATERING ADMINISTRATOR – This is an ongoing position through the year.

As the catering administrator, you will work with committee chairs to help

contact local catering vendors to use for our events. A one person job- great for

someone with catering contacts!
